Before our first meeting, we’ll invite you to complete a set of planning questionnaires and assemble a mood board of your inspiration images.

During this initial session, we begin shaping your Event Summary—a living, evolving document that includes:

• Planning Timeline

• Specialty Rentals

• Menu and Bar Selections

• Wedding Day Timeline

• Room Schematic

• Vendor List

We’ll also begin building your first Floral Summary, mapping out the foundational elements of your floral design. Both the Event Summary and Floral Summary will evolve as your vision becomes more refined.

Twice in summer and twice in winter we host elevated, boutique-style group tastings.

Styled like intimate mini-weddings, these gatherings feature floral design, specialty rentals, and a curated selection of guest-favorite menu items. Couples can mingle, sample, and connect while our Planterra events team and key members of our catering partner, Forte Belanger, are on hand to answer questions and guide decisions.

Approximately 2–4 months before your wedding, you’ll join us for a hands-on design experience.

We’ll present a full mock centerpiece and candle styling based on your inspiration. You’ll also explore linens, napkins, chairs, and specialty rentals—refining the visual language of your celebration with our Creative Director’s guidance.

Most decisions at Planterra remain flexible until 30 days before your celebration.

During this review—typically 30–45 days out—we walk through each page of your updated Event Summary and Floral Summary. This is where we make the final round of refinements based on guest count before obtaining your approval on:

• Menu & Bar

• Specialty Rentals

• Timeline

• Layout

• Floral Design

Held about two weeks before your wedding, this meeting is led by the Operations Manager assigned to your event. It is a final pass through logistics, including:

• Ceremony Worksheet

• Seating Chart

• Final Guest Meal Selections/Allergies

• Personal Items Checklist

• Timeline

• Vendor List

• Floral Design

It ensures every detail is captured and ready for execution.

Your rehearsal typically takes place the day before your wedding—Thursday evening for Friday weddings, Friday morning for Saturday weddings, and Saturday morning for Sunday weddings.

In this one-hour session, your Operations Manager and Ceremony Coordinator guide you through the processional, ceremony, and recessional while helping your wedding party and family get comfortable in the Conservatory. You may also deliver personal items and printed materials for our team to prepare for the next day.

On your wedding day, the Conservatory is exclusively yours. Only you, your guests, and the professionals caring for your celebration will be in the space.

Our Creative Director and/or Floral Director are onsite during preparations to ensure your design is executed flawlessly.

You will have two dedicated managers with you from start to finish—your Planterra Operations Manager and a Service Captain from our catering partner.

Together with their teams, they manage:

• Set-up, take-down, and clean-up

• Vendor arrival, departures, and coordination

• Kitchen and service staff oversight

• Placement of signage and personal items delivered at rehearsal

You and your loved ones simply arrive, take photos, and enjoy the day—we handle everything else.

Your Ceremony Coordinator will gather and cue your wedding party, manage the aisle processional, oversee the marriage license signing, and guide your ceremony from start to finish.
